Klaro user manual

Use governed knowledge with confidence.

Learn how to organize workspace knowledge, control who can access it, and get source-backed answers while keeping previews, downloads, and search governed by each source’s effective visibility.

Section 01

Getting started

Klaro always works inside an active workspace. Internal and Restricted knowledge, collections, conversations, members, and activity stay within that workspace. Sources intentionally marked Public can also be accessed from other Klaro workspaces.

Your active workspace matters

Chat saves conversations and activity in the workspace currently selected in the sidebar. All governed sources searches that workspace’s authorized knowledge together with Public sources and knowledge explicitly shared with this workspace. Check the workspace name before uploading or asking sensitive questions.

Section 02

Accounts, approval, and plans

Your platform account must be Active before you can use protected Klaro features. Your account plan determines operating allowances; workspace roles and source visibility still determine what you may access and manage.

Free

Designed for individuals and pilots, with smaller question, member, upload, document, and storage allowances.

Pro

Provides higher allowances for active teams and regular governed-knowledge operations.

Enterprise

Provides unmetered question allowances and higher document capacity, while operational safeguards still apply.

Question limitsA conversation limit requires a new conversation. Per-minute or simultaneous-processing limits require waiting briefly. Daily and monthly limits become available again after their reset time.
Upload limitsFiles over the size or page limit cannot be indexed. Daily upload counts, monthly upload volume, total storage, and document-count allowances can also prevent another upload.
Re-index cooldownA source cannot be re-indexed again until its plan’s cooldown has elapsed. Replacing a document is also subject to upload and storage allowances.
Member limitsAn invitation cannot add another member after the active workspace reaches its plan allowance. Existing members keep their access.

Registration approval may be required

When platform approval is enabled, a new account remains Pending after sign-in. Pending, Rejected, and Suspended accounts can navigate public information and their account-status screen, but cannot use protected workspaces, sources, files, chat, or APIs. An administrator must set the account to Active.

Reset timing and shared allowances

Daily allowances reset at the next UTC day and monthly allowances reset at the start of the next UTC month. Workspace question, upload-volume, storage, document, and member limits are shared by everyone using that workspace. Your Settings page shows current usage and the next reset times.

Enterprise is unmetered, not unrestricted

Enterprise removes the conversation, daily, monthly, workspace-question, member, and document-count ceilings. Questions-per-minute, simultaneous processing, uploads, file size, page count, monthly upload volume, storage, and re-index safeguards still apply.

Plans do not grant permission

A higher plan never bypasses account approval, workspace membership, Owner/Editor/Viewer roles, or Public/Internal/Restricted visibility. A platform administrator assigns the plan; workspace permissions continue to decide which content and controls a user can access.

Workspace creation allowance

Free accounts can own one workspace, Pro accounts can own up to 10, and Enterprise accounts can own up to 50. Workspaces you only join do not count. A platform administrator may assign a custom limit to an individual account.

Roles and permissions

Roles determine which workspace actions a person can perform. Access to Restricted sources is handled separately.

Owner

Full control over the workspace, its knowledge, and membership.

Editor

Operates governed knowledge but cannot manage the workspace identity or members.

Viewer

Reads authorized content and chats without changing workspace knowledge.

Section 04

Source and collection visibility

Visibility controls who may discover, open, download, search, and cite governed knowledge. It is different from a member's workspace role.

Public

Available to signed-in Klaro users in other workspaces through the Public source library and All governed sources chat scope.

Public does not mean anonymous internet access.

Internal

Available to members of the source's workspace.

Best for normal workspace knowledge.

Restricted

Available only to Owners, Editors, the uploader where applicable, and specifically granted members.

Use for sensitive or limited-access material.

Share with specific workspaces

Owners and Editors can keep a source or collection Internal or Restricted and grant selected workspaces read-only access. Members of a selected workspace may search, cite, preview, and download it, but cannot manage it. The destination selector lists only other workspaces the person sharing already belongs to.

How effective visibility is decided

Public takes precedence: if either the source or its collection is Public, the source is publicly available to signed-in Klaro users. Otherwise, if either one is Restricted, Restricted access rules apply. If neither applies, the source is Internal. Setting a collection to Public therefore publishes every source assigned to it, including sources previously marked Restricted.

External knowledge is read-only

Members can search, cite, preview, and download an external Public source or an item shared with their workspace, but they cannot edit, replace, re-index, move, restrict, re-share, or delete it. Those controls remain with the source workspace’s Owners and Editors.

Section 05

Governed sources

Governed Sources is the management area for approved, reusable documents and is available only to workspace Owners and Editors. Viewers use the Knowledge Base to browse authorized documents.

Add sourcesOwners and Editors can open Add Source to upload supported documents, import selected files from Google Drive, import authorized Jira tickets or Confluence pages, or create sources with the Source Editor. Pro and Enterprise Owners and Editors can also import a public website page by URL.
Build a source with KlaroPro and Enterprise Owners and Editors can choose Source Editor from the Add Source menu. This private editing chat can collect notes, ask clarifying questions, structure Markdown, and use an allowed public website page without being limited to existing governed sources. Pasting 4,000 or more characters creates a compact private text attachment that Klaro can use without filling the conversation bubble. Use Edit for direct changes and Preview to review the formatted result.
Preview and downloadOpen a source to inspect its available preview, or download the stored source file when your access allows it. File types without an in-app preview remain downloadable.
Manage source actionsOpen a source's Actions menu to re-index it, edit its name, visibility, collection, or version label, share it with permitted workspaces, or delete it. Editing metadata does not replace the stored content, and the source name is also used for downloads. Delete is separated as a destructive action; Download and provider-specific links remain directly available on the source row.
Replace or re-indexReplace updates the file and increments its version. Re-index rebuilds searchable content from the current file.
Delete a sourceOwners and Editors can permanently remove a workspace source, its searchable passages, and its stored file. This cannot be undone.

Supported files and plan allowances

Klaro accepts PDF, DOCX, XLSX, PPTX, TXT, and Markdown files. The per-file maximum is 10 MB on Free, 50 MB on Pro, and 100 MB on Enterprise; daily uploads, workspace storage, page count, and re-index timing also follow the active workspace plan. You can review current usage in Settings. Google Docs, Google Sheets, and Google Slides selected from Drive are copied into Klaro as DOCX, XLSX, and PPTX files. All worksheets in an Excel or Google Sheets workbook are indexed. Scanned or image-only PDFs need searchable text or OCR before Klaro can index them.

Google Drive imports stay synchronized

Connect Google Drive to the active workspace before importing. Klaro checks selected Drive files every 30 minutes. When Drive reports a newer file version, Klaro downloads and re-indexes it, then publishes the next version of the same governed source. Owners and Editors can pause automatic checks or run Sync now.

Atlassian imports can stay synchronized

Each workspace has its own Atlassian connection. Connect the active workspace to an Atlassian account, browse the sites that account permits, then select Jira tickets or Confluence pages to copy into that workspace. Connecting or reconnecting one workspace does not change another workspace's Atlassian credentials or sources. Klaro checks Jira and Confluence sources every 30 minutes; Owners and Editors can pause automatic sync or run Sync now from Governed Sources. Workspace Owners manage near-real-time Jira webhooks from Developers. See the Developers guide for configuration, project scope, security, and event behavior.

Website imports are controlled snapshots

Pro and Enterprise Owners and Editors can ask Klaro to turn one public HTTP or HTTPS page into a source. Klaro respects robots rules, cannot use signed-in sessions, blocks private-network addresses, and records the original URL and retrieval time. The imported source is a snapshot and does not automatically follow later website changes.

Source Editor drafts are private until published

The editor conversation and Markdown draft are not used by normal governed chat until you select Publish source. Later edits can publish a new version of the same source. Deleting an editor chat lets you keep the published source or delete the source and its searchable passages too.

Review the draft before publishing

The Markdown Preview formats headings, lists, tables, links, quotations, inline code, and code blocks so you can inspect readability. Preview does not publish or save by itself; use Save draft to retain edits and Publish source when the content is ready for governed retrieval.

Only import content you are allowed to use

The person importing a page is responsible for confirming that its terms, copyright, confidentiality, and organizational policies permit the content to be copied into Klaro. Public availability does not automatically grant reuse rights.

Source status

Processing

Klaro is preparing the document for search. Wait before using it in chat.

Indexed

The source is ready to search and cite.

Needs attention

The file may need replacement, re-indexing, or a clearer text-based version.

Failed

Klaro could not prepare the file. Review the error and try a supported document.

Chat attachments are different

A file attached directly to a chat message starts as conversation-only context. An Owner or Editor can ask Klaro to “store this as a source” to promote that attachment into Governed Sources. Otherwise, deleting the conversation also removes its messages and chat attachments.

Section 06

Tags

Tags are reusable workspace labels that help describe governed sources and collections. They give Klaro another signal for finding relevant knowledge without replacing collections, visibility, or access permissions.

Tag a governed sourceOpen the source’s Actions menu, select Edit, choose or add the relevant tags, then save. Tags appear on the source row and can also help users find it through the source search field.
Tag a collectionAdd tags while creating a collection or editing an existing one. A collection tag can guide Klaro toward authorized sources inside that collection when a question uses the same tag.
Use recommended tagsThe picker keeps selected tags visible and shows up to six suggestions instead of listing the entire workspace directory. Suggestions favor tags that fit the source or collection context, match what you type, or are commonly used in the workspace.
Add several tags togetherEnter multiple tag names separated by commas, then select Add tags or press Enter. Klaro reuses an existing workspace tag when its normalized name already exists and selects every successfully added tag.
  1. 1Use clear namesChoose short, stable subject labels such as Finance, Leave policy, Onboarding, or Project Atlas.
  2. 2Review the suggestionsSelect a recommended tag when it accurately describes the resource. A suggestion is optional and does not change anything until selected and saved.
  3. 3Create missing tagsType one or more new names separated by commas. Avoid spelling variants, temporary wording, and near-duplicate singular or plural tags.
  4. 4Save the resourceSaving the source or collection stores its current tag selection. Select an active tag again to remove it before saving.

How tags help Klaro answer questions

When a question contains a workspace tag name, Klaro gives additional retrieval attention to authorized sources carrying that tag and to authorized sources inside collections carrying that tag. Normal semantic and keyword retrieval still run, so tags guide discovery rather than acting as a strict filter or guaranteeing that a source will be cited.

Ask for live source statistics

Klaro can count unique governed sources in the active chat scope and analyze them by tag, indexing status, source type, and collection. For example, ask “How many tickets currently?”, “Count documents tagged privacy,” or “Which tag has the most sources?” These answers come from current authorized source metadata rather than estimates from document excerpts. Direct and collection-inherited tags are combined without double-counting, version-history rows are not counted as additional documents, and supporting source cards are included when available.

Tags never grant access

A tag cannot make a source visible, bypass a Restricted collection, or override workspace membership and sharing rules. Klaro resolves authorization first and uses tags only within the knowledge the person and active chat are already allowed to retrieve.

Jira webhook tag inheritance

Workspace Owners can configure tags for newly created Jira webhook sources under Developers. Each new source created by that webhook receives the configured tags. Changing the webhook tags affects future source creation only; existing Jira sources keep their current tags unless an Owner or Editor edits them directly.

Section 07

Collections

Collections group related governed sources so users can search a focused set instead of the entire workspace.

  3. 3Set accessFor a Restricted collection, choose permitted members; optionally share the collection read-only with selected workspaces.

When to use a collection

Create collections for a department, project, policy family, client, or access boundary. Avoid creating a collection for a single temporary question.

Section 08

Chat, evidence, and citations

Klaro answers from the sources authorized for the active chat. It should withhold unsupported answers when it cannot find sufficient evidence.

Choose a search scopeUse All governed sources to search authorized workspace knowledge, Public sources, and knowledge explicitly shared with this workspace. For focused retrieval, select a local, Public, or specifically shared collection from the scope menu.
Ask a clear questionInclude document names, policy terms, section numbers, dates, or the comparison you need.
Review evidenceEvidence verified means the answer was produced from retrieved source passages. It does not guarantee that an answer is complete or error-free, so review the citation cards before relying on important details.
Retry thoughtfullyUse Retry response after adding context, selecting the right collection, or improving the wording of the question.
Talk naturallyGreetings, thanks, goodbyes, and light conversation receive a friendly response without searching governed sources. These responses do not display Evidence verified, Evidence unavailable, or citation cards because they are not document answers.

Create a source from chat

Owners and Editors can provide reusable information, then say “Please store this as a source.” Pro and Enterprise Owners and Editors can include one public website URL and ask Klaro to scrape or import it as a source. Klaro creates an Internal Markdown source and adds it to the selected collection when one is active. Review imported or generated content before treating it as approved knowledge.

Conversation follow-ups

Klaro uses the current conversation to understand follow-up requests such as “explain that in simple terms” or “compare it with the previous section.” Start a new conversation when changing to an unrelated subject so the intent stays clear.

Friendly, but professional

Klaro recognizes common conversational variations such as “Hi Klaro,” “How are you today?”, thanks, and goodbyes. It can respond warmly and use occasional workplace-friendly humor. Document, legal, policy, compliance, safety, and sensitive questions still use governed retrieval and remain professional so friendliness never replaces evidence.

Evidence unavailable is a safety response

It usually means the selected sources do not contain enough relevant information, the correct source is not authorized for the chat, or the question needs more specific terms. It does not always mean the document is missing.

Deleting a conversation is permanent

You can delete your own conversation from the chat header or recent-conversations list. This removes its messages and chat attachments, but it does not delete any governed sources cited in the conversation.

Section 09

Knowledge base

The Knowledge Base is the source library for every workspace member. It lists only the workspace, Public, Restricted, or specifically shared sources that the signed-in user is allowed to access.

Find a sourceSearch authorized sources by name and narrow the list to a collection.
View or downloadOpen PDF, Word, spreadsheet, Markdown, and text previews when supported, or download the original authorized file.
Ask KlaroStart a normal new conversation with an initial question that names the selected document. The chat remains free to use all authorized knowledge.
Visibility still appliesThe library never bypasses Public, Internal, Restricted, membership, or specific-workspace sharing rules.

Section 10

Sources health

Sources Health is the operational diagnostics page for Owners and Editors. Viewers cannot see the navigation item or open the route directly.

Review coverageSee which workspace sources have searchable passages and which need attention.
Inspect passagesCheck what text Klaro can retrieve from an authorized workspace source.
Re-index contentRebuild a source’s searchable index after relevant configuration or retrieval changes.
Test retrievalRun a representative question and inspect vector, keyword, and fused retrieval results before relying on generated answers.

Section 11

Audit activity

Owners and Editors can review recorded workspace activity for governance and operational follow-up.

Audit activity can include source uploads, indexing, metadata or visibility changes, access updates, workspace member changes, and knowledge queries. Use the search field to narrow the list by action, resource, or detail.

Audit activity is not document content

It records that an action occurred and identifies the affected resource. It is intended for accountability and troubleshooting, not as a replacement for the source itself.

Section 12

Workspace administration

Settings separates Account settings, Workspace settings, and Workspace access so you can identify whether a change affects only you or the active workspace. Owner-only controls appear when you own the active workspace. Platform administrators receive separate Platform administration and Administration guide links.

Your profileUpdate your name, job title, or email. Changing your email can require confirmation before the new address becomes active.
Workspace identityThe Owner can rename the workspace. The name appears throughout the workspace.
Workspace themeThe Owner can choose from eight themes in Settings. The selected appearance is shared by everyone who opens that workspace.
Members and rolesThe Owner can invite a specific email, promote Viewers to Editors, transfer ownership, or remove members. Email invitations expire after 7 days, work once, and must be accepted by the invited address. Google sign-in creates a Klaro account first when needed; platform approval rules still apply.
Multiple workspacesCreate or join separate workspaces and switch between them without mixing Internal or Restricted knowledge. Editors and Viewers can leave a joined workspace from Settings; this removes only their membership and does not delete workspace content. They can rejoin later with a valid invite and return as a Viewer. Owners must transfer ownership or delete the workspace.
Developer integrationsWorkspace Owners configure Jira webhooks and multiple scoped website chat widgets from Developers. The separate Developers guide covers installation, operation, and security boundaries.
Invite linksOwners can also create general links that expire after 7 days and allow up to 25 uses. New invitees and returning members join as Viewers until the Owner changes their role.
Delete a workspaceOnly the Owner can permanently delete the active workspace. The confirmation requires its complete name and removes all workspace files, sources, conversations, collections, drafts, permissions, memberships, invitations, usage records, and audit history. Klaro user accounts are not deleted.

Themes follow the workspace

A theme changes the workspace navigation, accents, and background only. It does not change roles, visibility, permissions, or account limits. Switching workspaces automatically applies the theme selected for that workspace.

Section 13

Best practices

A few habits make answers more reliable and workspace governance easier to maintain.

  • Use descriptive source names that people can recognize in citations.
  • Choose the least permissive visibility that still supports the intended audience.
  • Group sources into collections when users repeatedly search the same subject area.
  • Use a small, consistent tag vocabulary and avoid near-duplicate spellings or singular and plural variants.
  • Replace outdated files instead of uploading ambiguous duplicates.
  • Start a new conversation when moving to a different topic.
  • Use exact names, dates, section numbers, and comparison criteria in questions.
  • Open citations and verify important statements against the source.
  • Review Needs attention sources and Audit activity regularly.
